Why do ATO records count as strong evidence?

Lenders value evidence that comes from someone other than you. Bank statements come from your bank. ATO records come from the tax office. Both show facts that you’ve reported or that have happened, in a format you can’t easily change.

For a business without an accountant, or with an accountant who’s slow to respond, ATO online services are the fastest way to pull together evidence a lender will take seriously.

The ATO says individuals, including sole traders, can review and print lodged returns, notices of assessment and activity statements from 2010 onwards through online services linked to myGov. Companies, trusts and partnerships can access returns and assessments through Online services for business, which also holds activity statements going back further. The ATO also says account transactions can be downloaded in CSV or HTML format.

How do you get access?

Sole traders: create a myGov account and link the ATO. Your notices of assessment arrive in your myGov Inbox once linked, and the ATO notes you can find past ones through your ATO profile’s communication history.

Companies, trusts and partnerships: the principal authority (for example a director) needs a myID with Standard or Strong identity strength, then links it to the ABN in RAM, the Relationship Authorisation Manager. Once linked, they can authorise others such as a bookkeeper. If you can’t reach Standard identity strength, the ATO notes alternatives like lodging through business software or a registered agent.

Setting this up can take a little while the first time, particularly the identity checks. Do it before you need the documents.

Why does the account statement matter so much?

When paperwork is behind, a lender’s biggest unknown is usually tax debt. An account statement from Online services for business answers that directly:

  • the balance owing on each account (activity statement, income tax);
  • payments you’ve made and when;
  • any penalties or interest charged;
  • whether a payment arrangement is in place.

A director of a small events-hire company needs $70,000 for new marquees before the wedding season. Her accountant is on leave for a month. She logs into Online services for business, downloads the last four lodged BAS, the company’s account statement showing a small balance on a payment plan with every instalment paid, and the last lodged company return. With six months of bank statements from internet banking, she has a full low doc file in an afternoon.

What if something’s missing from your ATO records?

If a return or BAS doesn’t appear, it may not have been lodged, or it may have been lodged under a different account or entity. Check with whoever prepared it. For documents older than those available online, the ATO provides a request process.

Once downloaded, save each file with a clear name and date range. A lender working through a tidy folder moves faster than one chasing missing pages.
